At Flyps, we’re looking for an Executive Assistant who brings structure to busy days with hands-on operational work. You’ll give direct support for our leadership, turn ideas into completed work, connect people across teams and take ownership of agreed improvements and processes.
What you’ll do
Make leadership’s work easier. Anticipate what they’ll need, keep calendars, tasks, and priorities organized. Adjust plans when circumstances change and make sure the right information reaches the right people.
Turn conversations into completed work. Turn meetings and Slack conversations into tasks with clear owners and deadlines. Clarify expectations and details, coordinate people and meetings, and follow up to keep cross-team initiatives on track through to completion.
Bring your perspective to the table. Join working sessions and brainstorming. Ask questions and help shape solutions.
Connect the dots across teams. Keep handovers clear, close information gaps, and flag dependencies before they cause delays.
Give leadership concise updates on progress, blockers, and decisions needed.
Coordinate and publish blog posts based on content prepared by the team, and prepare marketing materials.
Make useful information easy to find. Keep procedures, shared documents, and onboarding materials clear and up to date. Ensure the right people get the information they need.
What we’re looking for
Experience as an Executive Assistant or in a similar role that combines leadership support and operations.
Proactivity and ownership - you spot what needs doing, work out how to move it forward, and follow through without waiting for instructions.
Strong organizational skills to manage competing calendars, deadlines, and priorities.
Sound judgment about what you can resolve yourself, what needs confirmation, and when to escalate, plus discretion when handling sensitive information.
Experience keeping documentation and knowledge bases useful for daily work.
Practical experience using AI tools and spreadsheets in daily work.
Experience improving internal processes, with examples of what you changed and how it helped.
Availability to work from our office in Poznań when needed.
