The role
We’re looking for an experienced Operations Manager (Chief of Staff) to work closely with leadership, turn company priorities into action, and improve how our business runs.
You’ll combine hands-on ownership of operational improvements with driving cross-functional initiatives on behalf of leadership. This means translating decisions into clear plans, aligning department owners, resolving blockers, and making sure agreed priorities move forward.
You’ll also prepare insights and recommendations for business decisions, while building the processes, tools, and structures that support company growth.
What you'll do
Translate leadership priorities into actionable plans, with clear owners, milestones, and deadlines.
Drive cross-functional initiatives on behalf of leadership, aligning department owners and coordinating execution.
Track progress and deadlines, flag risks and competing priorities, follow up on commitments, and hold owners accountable for results.
Identify stalled work or missing ownership, resolve blockers, and drive issues to completion.
Improve operational processes, clarify responsibilities and decision-making, and introduce structures and tools that support company growth.
Prepare concise decision briefs and recommendations, using relevant data, options, and trade-offs.
Build a practical company knowledge base, with clear ownership for keeping procedures, checklists, and instructions up to date.
Reduce manual, repetitive, or inefficient work using AI and simple automation where they add value.
What we're looking for
Experience in operations or leading cross-functional initiatives, ideally in a technology or services company.
Ability to identify priorities and manage multiple workstreams, keeping owners, deadlines, and next steps clear.
Confidence coordinating teams, challenging assumptions, and holding people accountable without direct reporting authority.
Persistent follow-through - you proactively chase responses, escalate blockers, and drive topics to completion.
Strong problem-solving and ownership - you spot gaps, take initiative, and exercise independent judgment.
Experience implementing processes that teams use in practice.
Confidence working with data, preparing recommendations for leadership, and handling sensitive information.
Practical skills in documentation tools, spreadsheets, and AI. Experience with Make, n8n, or Zapier is a plus.
Strong Polish and English communication skills, with English at B2 level or above.
